Engineering Administrative Support – Grass Valley

Under general supervision, supports the engineering department by providing administrative support. General duties include ensuring the engineering libraries are current, assisting in purchasing and tracking equipment, coordinating with other departments, supporting and arranging travel, scheduling and setting up meetings.

Requirements:

  • Support the engineering manager and department to ensure that their administrative needs are met.
  • Generate and maintain spreadsheets to track engineering inventory.
  • Coordinate with Legal and Engineering managers to execute MNDAs and agreements for engineering contractors.
  • Create new processes and look for opportunities to improve existing processes.
  • Organize and prioritize a large number of engineering administrative processes such as maintaining records of equipment, general purchases, and ensuring the engineering libraries are up-to-date.
  • Coordinate and arrange travel for meetings and major trade shows.
  • Arrange meetings and handle meeting logistics such as lunch arrangements, contacting speakers, etc.
  • Work with other departments to arrange intradepartmental moves and orient new engineers to the group.

Desirable Skills and Experience:

  • Strong verbal and written communication skills when giving and taking information in writing, in person, and over the telephone.
  • Solid word processing and computer database skills. Experienced with MS Office Suite including MS Word, Excel, and PowerPoint.
  • Effective interpersonal skills with the ability to work with individuals and groups at all organization levels; ability to work independently and as part of a team.
  • Ability to work under general supervision and rely on experience and judgment to plan and accomplish goals.
  • Ability to take initiative and prioritize tasks; good time-management, organizational, problem-prevention, and problem-solving skills.
  • Strong analytical ability with active listening skills.
  • Ability to maintain confidentiality of sensitive information.
  • Understanding of the engineering environment and needs of engineers.
  • Willingness to adapt to changing business needs and deadlines that may extend work hours.
  • Willingness to adhere to Company policies and support management decisions and goals in a positive, professional manner.

Education and Experience:

  • High school diploma or equivalent experience.
  • Minimum of 3-5 years administrative experience, preferably in an engineering or technical environment.

This is a full-time position with competitive pay and benefits. The base pay for this position is $19.53 – 26.85 per hour. This range reflects base salary only, and does not include additional compensation or benefits. Individual base pay is determined by various factors such as relevant experience, education, training and skills, and the scope and responsibilities of the position.
