Customer Service/Order Entry Representative – Grass Valley

Provide service and support to our customers and sales team. Process incoming sales orders. Respond to customer inquiries or refer customer to appropriate company personnel. Communicate with customers and fellow employees in a friendly, professional manner.

Requirements:

  • Process sales orders, print picklists, and support shipping and invoicing activities.
  • Ensure that customer purchase orders comply with AJA customer purchase order requirements.
  • Coordinate orders and ship dates with the manufacturing, shipping, service, sales and product management departments.
  • Set up and maintain customer master files in Sage 100/Acumatica and hardcopy customer files.
  • Focus on data integrity within the team to ensure accurate, complete and consistent results.
  • Obtain customer resale certificates when required.
  • Work closely with accounts receivable to enforce/release credit holds. Prepare pro-forma invoices for customers with pre-paid terms.
  • Obtain freight quotes from the shipping department on behalf of customers.
  • Process service, repair, loan, demo and donation orders and invoices.
  • Coordinate and process customer sales returns, price protection and other credits.
  • Audit staged orders prior to shipping and invoicing to minimize errors.
  • Keep up to date with current products, price lists, reseller policies and programs.
  • Cover absences for order entry co-workers.

Desirable Skills and Experience:

  • Excellent written and oral communication skills; ability to communicate effectively and project a professional image when giving and taking information in writing, in person and over the phone.
  • Proficiency with Accounting/ERP systems processing and reporting.
  • Proficiency with Microsoft Excel, Word and Outlook.
  • Knowledge of shipping terminology, methods and procedures.
  • Familiarity with export compliance regarding international, federal, state and local regulations.
  • Effective interpersonal skills with the ability to work respectfully with individuals and groups at all organization levels; ability to work independently and as part of a team.
  • Ability to work under general supervision and rely on experience and judgment to plan and accomplish goals.
  • Ability to take initiative and prioritize tasks; good time-management, organizational, problem-prevention and problem-solving skills.
  • Strong analytical ability with active listening skills.
  • Ability to maintain confidentiality of sensitive information.
  • Willingness to adapt to changing business needs and deadlines that may extend work hours.
  • Possess a work ethic that includes neatness, punctuality and accuracy.
  • Represent the Company with a high level of integrity and professionalism.
  • Willingness to adhere to Company policies and support management decisions and goals in a positive, professional manner.

Education and Experience:

  • High school diploma or equivalent.
  • At least two years of experience in a similar position.

This is a full-time position with competitive pay and benefits. The base pay for this position is $19.53 – 29.82 per hour. This range reflects base salary only, and does not include additional compensation or benefits. Individual base pay is determined by various factors such as relevant experience, education, training and skills, and the scope and responsibilities of the position.
